SUMMARY 

We are looking for a highly organized person with a passion for managing the details and a soft spot for making things better than they found them. Why? Because we’re a fast growing digital marketing and advertising agency on a mission to craft highly personalized marketing strategies to drive top-line growth for our clients.
 

As a Sales Admin Assistant, you are responsible for:

  1. Prepare Sales Assets
  2. Lead Tracking and Management
  3. Executive Assistance to the CEO

Within our growing Sales department, you’ll report to our Founder & Sales Director, work closely with our COO, and collaborate with other departments on a regular basis.

 

We communicate through Slack, manage tasks and projects through Teamwork, and organize files in Google Workspace. 

You’ll also be working in Proposify and DocuSign for our sales and executive team.

This is an independent contractor position.
 

Sales Admin

  • Prepare sales proposals, contracts, change orders, etc including sourcing information from team members as needed as directed by the Sales Director
  • Update and manage Teamwork CRM as directed by Sales team
  • Outreach to leads and logging/updating CRM
  • Scheduling of Discovery Calls and follow-ups as needed
  • Conduct basic research on leads and potential clients as needed
  • Prepare meeting notes in Google Docs on a weekly basis for use in sales and team meetings
  • Prepare admin documents ahead of consulting sessions with clients
  • Maintain accurate client contact information in Google Sheets and MailChimp
     

Exec Admin

  • Organize digital files and folders
  • Daily email checks, including management of Founder’s email inbox and drafting of replies
  • Exec assistance tasks related to travel, personal requests, etc (i.e. rescheduling meetings, trip itinerary prep)
  • Other duties as assigned
     

SKILLS YOU NEED TO HAVE

  • HIGH level of attention to detail
  • Effective organization and time management skills
  • Problem solver and team player, always thinking one step ahead 
  • Proactive, adaptable and flexible
  • Ability to multitask and meet deadlines under pressure
     

EXPERIENCE WE’RE LOOKING FOR

  • At least three years of remote administrative experience, specifically working with others at the Director and/or Executive level
  • Strong experience with Google Workspace
  • Prior experience working remotely
  • Previous agency internship or experience a plus
