Position Overview:
We are seeking an experienced Executive Assistant to provide crucial support to our Founder and Chief Strategy Officer who has myriad roles and responsibilities still in the agency. This is a remote independent contractor position with up to part time hours that offers the opportunity to work with a forward-thinking agency and contribute to our continued success.
Key Responsibilities:
- Email Management: Monitor and manage the CEO's email inbox, prioritizing important messages, and drafting responses as needed.
- Calendar Management: Oversee and manage the CEO's schedule, coordinate appointments, and anticipate scheduling conflicts.
- Digital Organization: Maintain an efficient digital filing system for documents, ensuring easy retrieval and secure storage.
- Travel Coordination: Handle all aspects of travel planning, including booking flights, accommodations, and creating detailed itineraries. Ensure travel plans align with the CEO's preferences and business needs.
- Personal Requests: Assist the CEO with personal tasks and requests, such as shopping, reservations, and other non-business-related matters.
- Meeting Preparation: Prepare meeting materials, agendas, and presentations for CEO-led meetings and ensure all participants are well-informed.
- Communication Liaison: Act as a liaison between the CEO and internal and external stakeholders, ensuring seamless communication.
- Task Follow-Up: Monitor and follow up on action items and tasks assigned during meetings, ensuring timely completion.
- Document Drafting: Assist in drafting business documents, reports, and presentations as needed.
- Remote Support: Provide remote support to the CEO, staying accessible during business hours to address urgent matters.
- Team Coordination: Collaborate with other team members and assist in coordinating team meetings and events.
- Purchasing: Assist with purchasing tasks, including procurement of new employee equipment and managing client holiday gifting initiatives. Ensure efficient and cost-effective purchasing processes.
- Confidentiality: Maintain the highest level of confidentiality in handling sensitive company and CEO-related information.
Key Performance Indicators (KPIs):
- Response Time: Maintain a high standard of responsiveness to ensure efficient communication.
- Accuracy Rate: Strive for accuracy in all tasks and communications.
Qualifications:
- Prior Experience: Minimum of three years of successful experience in an executive assistant role with the title 'Executive Assistant to the CEO' or equivalent.
- Tech Savvy: Strong proficiency in Google Workspace and other relevant digital tools.
- Remote Work Experience: Previous experience working remotely and in an agency environment is a plus.
- Skills: High attention to detail, effective organization and time management, problem-solving abilities, and adaptability to changing priorities.
- Team Player: Collaborative mindset and willingness to contribute to the success of the team.
